Check Your E-mails Wisely|Increase Your Productivity

Recently, I noticed that there are a lot of people who have a habit of checking their e-mails every 10 minutes and lose a lot of time in between their daily tasks.

If you are one of the many who love to check their e-mails constantly, then I will tell you that you waste a lot of quality time.  How so?  Let me present it to you in a simple way that will shock you after you implement my recommended strategies.

Let's say that you are in the middle of writing an article, watching a Webinar, listening to a training or simply doing your chores.  Suddenly, you have this urge to check your e-mails and stop whatever you were doing at that very minute and click on your e-mail tab to see if you received a new e-mail.  If you are like me and use more than one e-mail Website, then you find yourself first checking Yahoo, then Google, then Hot Mail and the list goes on...

The problem with checking your e-mails every 10 minutes is that you lose a tremendous amount of time. Time is not the only thing that you lose in this case, but  also your concentration, because when you try to go back and continue what you were doing before you  realize that you cannot watch that Webinar, listen to the training that you paused before you checked your e-mail, or do your chores because your mind is elsewhere.  You've already lost the train of your thoughts, and you wonder what that Webinar was about before you decided to check your e-mails. 

By the time you get your thoughts together and concentrate on your tasks at hand, you've already lost one hour.

Now, the time has come for your appointment that you set earlier with a prospect, or you need to pick up your kids from school, or a brand new Webinar is starting in five minutes that is going to grow your business significantly.

You see how checking one e-mail can change your entire day's schedule and throw you off of what you had planned to do early that morning? Every little distraction like this will take you even further away from reaching your goals.  Let's see what you can do to manage your day better and reach your goals faster.

Every morning you should set a special time for about 15 minutes to check your e-mails and answer them.  You have to get into the habit of "cleaning" your "in-box" every single day in the following way:

First, you check your messages and answer to the ones that need your immediate attention.

Second, create files for your e-mails in your in-box and file the e-mails that don't need your immediate attention.

Third, schedule meetings on your Calendar for your e-mails that contain training or Webinar information.

Forth, delete all your e-mails that you already scheduled meetings for, or you no longer need to check.

The recommended strategy above should leave no e-mail in your in-box.  Once you are done with your e-mails, you go on to your next task and concentrate on that.  You can set up another time during the day to check your e-mails again in 4-6 hours, but each time you check them, you have to repeat the same process:  answer, file, schedule, or delete and go on with your other tasks.

In the end of the day, you'll be amazed at how much time you saved and how many things you could concentrate on.  This is a great work habit to adapt because your productivity will go up, which will lead to a prosperous business.
